Organiser terms

1. Eligibility and authority
The workspace is for organisations and individuals acting for business, club, charity or professional purposes. The person accepting these terms must be at least 18 and authorised to bind the organisation. Consumer subscription terms are not intended to apply to a genuine business purchase.
2. The service
FormSide provides tools to create public camp pages, collect bookings, manage capacity, configure questions, track payment status and support related administration. The organiser supplies every camp and remains responsible for delivery, staff, safeguarding, eligibility, venues, taxes, licences, insurance, cancellations, refunds and customer support.
FormSide may improve or change features where that does not materially remove the core paid service. A material adverse change will be notified in advance where practical, with an appropriate cancellation route.
3. Plans, trial and payment
- FormSide is free for every organisation while it is in beta, with no limit on live camps or team members and nothing to pay. The paid base prices that will apply after the beta are Starter £15 monthly or £150 annually, Growth £29 monthly or £290 annually, and Pro £59 monthly or £590 annually, and notice will be given before they take effect.
- The annual price charges ten monthly base prices for twelve months of access.
- The Free tier is the way to start: no card is required to create a workspace, publish a camp and take bookings.
- FormSide adds no platform commission and no per-booking fee on any plan.
- Card payments are taken through the organiser's own Stripe account. The organiser is the merchant of record for those payments and holds the relationship with Stripe, including payouts, refunds and disputes; Stripe charges its own processing fees directly at its published rates.
- Plan prices are stated excluding tax. Stripe calculates the VAT or sales tax due for the organiser's location at checkout and shows the exact total before payment is confirmed; a valid VAT number can be entered there and reverse charge is applied where it qualifies.
- Plan limits are applied automatically. Publishing a camp beyond the plan's live-camp allowance, or adding a person beyond its team allowance, is refused until the plan is changed or capacity is freed.
- Camps that are already live are never unpublished by a plan change or a lapsed subscription. If a subscription ends, the workspace returns to Free and existing camps keep running; only publishing further camps is prevented.
Subscriptions are taken through Stripe. The exact total, billing frequency and renewal date are shown before payment is confirmed, and the subscription can be cancelled at any time from the billing portal in the organiser dashboard.
4. Renewal and cancellation
When billing is activated, a monthly plan will renew monthly and an annual plan yearly only after the renewal terms have been clearly accepted. The organiser can give notice before renewal; access continues to the end of the paid period. Charges already due are not refundable merely because the service is unused, except where the order form, these terms or applicable law says otherwise.
FormSide will provide a straightforward cancellation route and clear renewal information. The planned UK consumer subscription regime is not yet in force as at this version and these are business terms, but the service is being designed to avoid subscription traps.
5. Organiser responsibilities
- Keep listing, price, availability, contact, cancellation and logistics information accurate.
- Provide every mandatory pre-contract disclosure and a durable confirmation to the family.
- Use fair family terms and handle complaints, changes and refunds lawfully.
- Operate appropriate safeguarding, staffing, first-aid, risk, collection and incident procedures.
- Have a lawful basis and, where needed, an Article 9 condition before collecting sensitive information.
- Control team access, remove leavers and use roles according to genuine need.
- Comply with the acceptable use policy.
6. Payments made by families
Bank-transfer details belong to the organiser. The organiser is responsible for their accuracy, for matching payments and for safeguarding changes to the destination account. FormSide does not guarantee that a payer uses the correct reference.
Card payments are taken through the organiser's own connected Stripe account. The organiser is the merchant of record: funds settle directly to that account on its own payout schedule, and the organiser bears Stripe's processing fees, disputes, chargebacks, negative balances, refunds and the associated tax position. FormSide never holds the money and takes no commission.
7. Data protection
Each party acts as controller for the purposes it determines. Where FormSide processes booking information only on the organiser's documented instructions, the data processing terms apply. The organiser is responsible for its privacy notice, lawful bases, special-category condition, retention schedule, rights and complaint handling.
8. Content and intellectual property
The organiser retains ownership of its camp content and grants FormSide a non-exclusive licence to host, reproduce, resize and display that content only as needed to provide and protect the service. The organiser warrants that it has the necessary rights and permissions, including for photographs of children.
FormSide and its licensors retain rights in the service, design, software and documentation. No ownership transfers under these terms.
9. Availability, support and security
FormSide will use reasonable care and skill to provide the service and protect information, but planned maintenance, provider incidents and events outside reasonable control may interrupt access. The organiser must report suspected account compromise promptly and maintain its own operational contingency for imminent camps.
10. Suspension and termination
FormSide may restrict or suspend access where reasonably necessary for security, non-payment, unlawful use, a credible safeguarding risk or a material breach. Where practical and safe, FormSide will give notice and an opportunity to remedy. Either party may terminate for an unremedied material breach after reasonable written notice, or immediately for an irremediable serious breach.
11. Liability
Nothing excludes liability for fraud, fraudulent misrepresentation, death or personal injury caused by negligence, breach of data-protection obligations to the extent they cannot be limited, or any other liability that cannot lawfully be excluded. Any commercial cap, excluded loss and indemnity must be confirmed in the signed order form before paid billing starts; this preview does not invent those financial terms.
12. Notices, changes and governing law
Account and legal notices may be sent to the verified organiser email. Material term changes will be notified in advance and will not retrospectively alter a family booking record. The operator's legal identity, geographic address and governing jurisdiction must be published before paid contracting is enabled.
